Industry: insurance brokers
AI and automation for insurance brokers in Austria
A substantial part of brokerage is documentation, following up, and paperwork moving from one place to the next. That is exactly the kind of work that can be automated without anyone handing over the advice itself.
Book a consultationWhere the day actually goes
The same points come up in conversation with brokers again and again. Advising is not the problem. What surrounds it is.
- An inquiry arrives by email, phone or form and is then transferred by hand into the management software.
- Documents arrive as PDFs or photos and must be reviewed, named and assigned to the right person before anyone can do substantive work.
- The advice has been given, but the documentation for it is written later from memory, often in the evening.
- Expiring contracts, deadlines and follow-ups depend on one person and that person's calendar.
- Claims produce the same repeated questions, because the first contact arrives incomplete.
The entry point, as a named package
Enquiry to file
One process, not a catalogue. If you do not know where to start, you start here.
- 1The enquiry arrives, by email, form or phone, and is captured in structured form rather than retyped.
- 2The agent actively asks for what is missing before the case reaches you.
- 3Documents sent along are read, named and attached to the case.
- 4The finished file sits in your management software with everything needed to work on it.
- 5Anything unclear or sensitive comes to you explicitly instead of being decided quietly.
The build is a fixed price after a short discovery conversation. What comes after, such as deadlines, book maintenance or draft documentation, is a separate step and not a prerequisite.
What we build for it
Capturing inquiries in structured form
An agent takes inquiries from email, form or phone, actively asks for what is missing, and files them where you already work. No second entry, no retyping.
Filing documents instead of sorting them
Incoming documents are read, assigned to the right case and named. Anything ambiguous comes to you for review rather than being quietly filed wrong.
Documentation from the actual record
The write-up after a consultation is drafted from what the case already contains, for your review and approval. The professional responsibility stays with you. The typing does not.
Deadlines and book maintenance that do not rest on one person
Expiring contracts, reminders and follow-ups run as a process that keeps running when someone is on holiday.
Your company knowledge as the basis
For an agent to answer usefully it has to know your products, your wording and your processes. That is why every project starts with company knowledge, not with the agent.
What we take seriously
Brokerage is a regulated profession and you handle health, financial and family data. That changes what may be built, before it is built rather than after.
Confidentiality is a technical requirement
Client data does not pass through services that learn from it. We host in the EU and disclose which system sees which data.
The person decides, the agent prepares
We automate capture, assignment and drafts. Advice and recommendation stay with you, not least because that is where they belong.
Traceable, not opaque
For every case it is visible which step fired and when. That is the precondition for trusting an automated process at all.
What we are not claiming
We deliberately name no clients here and no figures from other people's projects. What is written above describes what we build, not how much it saved somebody else. What a process actually saves in your office can only be said once we have looked at it together. In the first conversation we will also say when the effort is not worth it.
Frequently asked questions
- Do we have to replace our brokerage management software?
- No. The goal is to connect to what you already use. Where a system offers no official interface we find another route, for example an automated export, and we say openly where that route is less robust.
- Does an AI provider get to see our client data?
- Not in a way we have not explained to you first. We host in the EU and disclose during the project which component processes which data. If a use case only works with a transfer we consider risky, we say so rather than working around it.
- Does this replace advising?
- No, deliberately. What gets automated is the work around the advice: capture, assignment, draft documentation, deadlines. The recommendation to the client stays yours.
- How do we start without disrupting the office?
- With a single process that happens often and visibly costs time today. It first runs alongside on real but uncritical cases, so mistakes surface before anyone relies on it.
Which process costs you the most time today?
Fifteen minutes is enough for an honest read on whether automation is worth it here.
