Documents & Quotes
Automating quote creation sounds like a big undertaking, but the content is usually clear already: price list, template and customer data all exist, only assembling them takes time every single time. The documents agent takes over exactly that step and pulls quotes, reports and recurring paperwork together from your own templates and systems. It produces a finished draft that someone on your team reviews and approves before anything leaves the building. The module fits businesses where quotes or reports come up regularly and follow the same pattern each time.
Who this module is for
- Quotes come from the same template, but someone types in line items, prices and customer data by hand every time.
- Recurring reports, for example monthly summaries or status updates, regularly cost half a day of pure assembly work.
- Days pass between an inquiry and a quote, not because the calculation is hard, but because nobody finds the time to write it up.
- Different people on your team put together quotes slightly differently, which makes the outward appearance inconsistent.
- The same reporting routine comes around every month or quarter: gathering numbers from two or three sources and putting them into the usual format.
- A quote often needs a last-minute change, for example an adjusted quantity, and the template gets searched through again each time instead of simply updated.
What you receive
Drafts from your own templates
The agent creates quotes, reports and recurring paperwork based on your existing templates, price lists and customer data. There is no new template language your team would first have to learn.
Ready for review, not for sending
Every draft first goes to someone on your team for review, the agent never sends anything to customers on its own. A quote only goes out once a person has approved it, without exception.
A consistent appearance
Because the same agent creates every document from the same templates, quotes and reports look consistent, regardless of who triggered them. That also reduces rework, since fewer formatting corrections are needed.
Integration with your data sources
The agent pulls prices, customer data and line items from the systems you already use, for example CRM or inventory management, instead of transferring them by hand. If a price changes there, the next draft automatically uses the current figure.
Traceable processing
You can see which details were taken over automatically and which were added manually, traceable at any time. That helps especially with questions about an older quote, when nobody quite remembers how a figure came about.
Handling for edge cases
If an inquiry does not fit the usual pattern, for example an unusual quantity tier or a special discount, the agent flags the draft as needing review instead of improvising itself. That keeps the judgment call where it belongs.
How it runs
Reviewing templates
We look at your existing templates, price lists and typical documents and clarify which ones repeat the most. This also surfaces where work is done inconsistently today.
Build
The agent is connected to your templates and the relevant data sources, for example CRM or price lists. The structure of the drafts follows what your team is already used to.
Review phase
The first drafts are reviewed together with your team, until format and content match reliably. Discrepancies get corrected in this phase, before regular operation begins.
Go-live
The agent produces drafts within the agreed scope, each one going to a person for approval before it leaves the building. Change requests after launch are handled as a small adjustment, not a rebuild.
Pricing
The build is fixed as a one-time price after a short discovery conversation, depending on the number of templates and connected systems. Ongoing operation is optional and agreed separately.
We agree on concrete prices in the initial consultation. All amounts excl. VAT. The build is often up to 50% eligible for funding via KMU.DIGITAL.
What this costs to keep running is covered under operation & ongoing care, and where your data physically sits under hosting in Austria & the EU.

No. The agent produces a finished draft that someone on your team reviews and approves. Sending it stays with you in every case, without exception.
From your price list or your system, for example CRM or inventory management. If a price changes there, the agent automatically uses the current figure, without anyone having to update the template by hand.
The agent recognizes such cases and flags the draft as needing closer review, or hands it directly to a person instead of improvising itself. That keeps the content decision with your team.
Yes, that is the normal case. Every draft still comes out consistently formatted, regardless of who triggered it, which keeps your outward appearance consistent.
They stay on European servers, GDPR-compliant and in line with the EU AI Act. The data is used exclusively to create the documents and is not shared with third parties.
The price mainly depends on how many templates and systems get connected and how different they are today. It is fixed as a one-time price after a short discovery conversation, ongoing operation is optional and calculated separately. Yes, provided the corresponding templates exist in those languages or are set up together with us. The agent follows the same template structure as in the German-language document.
That depends on the number of templates and systems, a first review phase is typically possible within a few weeks. We give you a concrete timeframe after looking at your templates in the initial consultation.
